Build or buy a chatbot: when is a custom build worth it?
Buy, in most cases. A hosted builder such as ConferBot publishes a free plan of 600 chats a month and paid plans at $19, $39 and $59 a month per workspace, which is less than our cheapest maintenance plan for a custom build, at ₹20,000 or $350 a month. Build when the chatbot is the product you sell, or when it has to act inside your own systems in ways a builder's webhooks cannot. A disclosure: we built ConferBot for its owners, so we know both sides, and we have an interest in it doing well.

How do the options compare?
| What matters | Buy a hosted builder | Build a custom chatbot |
|---|---|---|
| Cost to start | Nothing. ConferBot's free plan gives 600 chats a month, one chatbot and two team members, with no card required. | A build price, scoped first. A Discovery Sprint (₹1,50,000 or $2,900) is how we would scope it. |
| Monthly cost | ConferBot: Starter $19 (2,000 chats), Pro $39 (5,000) and Business $59 (10,000), one flat price per workspace with no per-seat or per-channel fees; yearly billing costs ten times the monthly price. | Hosting, every AI model call, and maintenance. Our maintenance plans start at ₹20,000 or $350 a month. |
| AI model costs | Depends on the vendor. In ConferBot each bot picks its provider and the business brings its own API key, so the provider bills model usage directly. | You pay the provider for every call. We meter each one; in LeafRanger, for example, a plant scan costs about $0.004. |
| Channels | Included. ConferBot publishes one flow to a website widget and to messaging channels including WhatsApp, Messenger, Instagram, Telegram, Slack and Microsoft Teams. | Each channel connection is code you build, test and keep up to date when the channel's API changes. |
| Acting inside your systems | Through the builder's webhooks and API, which ConferBot's pricing page lists from its Starter plan. | Directly: the bot can create a booking or change an order in your own database, under your own permission rules. |
| Who keeps it running | The vendor. | You, or whoever you pay to maintain it. |
Which should you pick, and when?
Buy a hosted builder: pick it when
The bot answers questions, captures leads, books calls or hands chats to a person, on your website and messaging apps. You want it live without engineers and want to switch AI models without rebuilding.
Build a custom chatbot: pick it when
The chatbot is the product you sell, as it was for ConferBot's owners; it must take actions inside your systems under your own rules; the conversation data must stay on your infrastructure; or you need behaviour no builder offers.
What does a hosted chatbot cost each month?
ConferBot's pricing page, checked on 20 October 2026, lists four plans: Free at $0 with 600 chats a month, Starter at $19 with 2,000, Pro at $39 with 5,000 and Business at $59 with 10,000, plus a custom Enterprise tier. Pricing is per workspace, with no charge per seat or per channel, and yearly billing costs ten times the monthly price.
When you compare builders, check three things on each pricing page: whether it charges per seat, per channel or per conversation; whether AI usage is bundled into the price or billed by the model provider on your own key; and what you can export if you leave.
What goes into building a chatbot platform?
We know because we built one. ConferBot's builder is a React canvas where each step of a conversation is a node, with a live preview. The same flow is published to a website widget and to each messaging channel. Conversations are stored in MongoDB and pushed over WebSockets into one shared inbox, where a person can take over any chat with its history.
On top sits an AI agent with a persona, the business's own knowledge and guardrails on what it may discuss, plus rules for when it hands over to a person: negative sentiment, low confidence, a turn limit or a time limit. The model provider is a setting on each bot. Every one of those parts is something a custom build would have to design, test and maintain.
When does building your own chatbot pay off?
When the chatbot is the business. ConferBot's owners needed their own platform because the platform is what they sell. When the bot must act inside your product, for example rescheduling a delivery or issuing a refund under your own permission rules, building it into your backend can be simpler than routing everything through a third party's webhooks.
For a bot that answers questions and captures leads, building rarely pays off: you would be paying to recreate a product that is already sold by the month.
When are we the wrong choice?
- Your bot answers FAQs and collects leads. Subscribe to a builder; a custom build will cost more for the same result.
- You need it live this week. A builder's template will be faster than any build.
- You have no budget to maintain it after launch. A custom bot without maintenance breaks when a channel's API changes.
Questions people ask
What does a hosted chatbot builder like ConferBot cost?
ConferBot's pricing page, checked on 20 October 2026, lists a free plan with 600 chats a month and paid plans at $19, $39 and $59 a month per workspace, covering 2,000, 5,000 and 10,000 chats. There are no per-seat or per-channel fees.
Is AI model usage included in a chatbot subscription?
Not always, so check. In ConferBot each bot runs on the provider you choose with your own API key, so the model provider bills the usage to you directly, separately from the plan.
What does a custom chatbot cost to run each month?
Hosting, the AI model calls it makes and maintenance. Model cost depends on the model and on volume, so we meter every call from day one; our maintenance plans start at ₹20,000 or $350 a month.
Can a custom chatbot take actions such as booking an appointment?
Yes, and that is the strongest reason to build one. A bot built into your backend can create or change bookings and orders under the same permission rules as the rest of your product, rather than through a vendor's webhooks.
Did CountryDevs build ConferBot?
Yes, for its owners. We built the visual flow builder, the multi-channel publishing, the shared inbox over WebSockets and the AI agent with human handover, on React, Node.js, Express and MongoDB.
